YenRub Consulting Group (YRCG) is a Subcontractor to Dawson’s Management, a leading provider of the Division of Cancer Prevention and Control (DCPC) Administrative Support Services contract.
There is an immediate opening for an experienced Executive Administrative Assistant with at least 5-10 years of experience. The position is currently remote due to COVID-19 protocols. However, this may change as the customer deems required.

Job Description:
- Serves as the primary administrative point of contact for internal and external constituencies on matters pertaining to the Office of the Director
- Exercises good judgment in a wide range of situations with strong written and verbal communication, administrative, and organizational skills
- Anticipates needs and demonstrates proactive problem-solving skills and strong decision-making capabilities. Demonstrates excellent attention to detail, strong organizational skills, and the ability to prioritize multiple tasks
- Demonstrates strong interpersonal skills and the ability to build relationships with DCPC, NCCDPHP, and CDC staff as well as external partners
- Maintains discretion and confidentiality with sensitive information shared verbally or in writing
- Conducts activities related to administrative functions for both internal and external personnel, logistics, and communications for a variety of events, requiring interaction and coordination with internal personnel, other governmental agencies, and academic and other institutions.
- Assists the Division Director and the Deputy Division Director in scheduling meetings, making meeting space reservations, arranging and ensuring operability of audiovisual equipment prior to start of meeting, preparing and distributing meeting agendas, handouts, and compiling meeting minutes.
- Coordinates and maintains appointment calendar for Division Director and Deputy Division Director and serves as a gatekeeper to ensure their time and commitments are respected.
- Provides appropriate follow up and keeps the Division Director and Deputy Division Director informed of new requests and changes in upcoming commitments
- Demonstrates initiative in scheduling appointments independently, remindin management of meetings, briefing staff on the subject matter prior to the meeting, and making the administrative arrangements as required.
- Maintains conference room and equipment functionality and works with CDC tech support (ITSO) as needed to address any technical issues.
- Ensures division office equipment, such as copiers and printers, function properly and maintaining toner/paper availability.
- Serves as liaison between branches and OD for requisition requests for supplies and other services as in accordance with established procedures.
- Disseminates information supplied to Division staff offices in adequate time for preparation of documents.
- Serves as time clerk for assigned staff by ensuring timely processing of time and attendance documents in accordance with records management systems proper record keeping and meeting deadlines in TASNET.
- Maintains floor plans and office/cubicle name signs.
- Updates/maintains contact cards for office team as well as executive staff.
- Independently coordinates logistics and enters domestic travel arrangements for office staff in CDC travel system.
- Compiles and processes travel vouchers for assigned staff within 5 days of travel end date.
- Attends monthly travel meetings as scheduled. Serves as liaison to branch administrative assistants to disseminate travel updates in a timely manner to in accordance to established procedure.
- Leads administrative assistants’ monthly meetings to disseminate Division updates.
- Assists Division travel point of contact with announcements of non-CDC sponsored events in the CDC conference system and ensures attendees are added to conferences in an accurate and timely manner.
- Submits service desk tickets (i.e., MISO, ITSO) and ensures timely follow-up for assigned staff.
- Establishes, uses, and maintains CDC and Division systems for follow up action items.
- Assists as Building Evacuation Team Monitor. Reviews/updates staff accountability list and building evacuation signs in accordance with CDC procedure.
- Proficient in MS Office Suite and on various CDC systems and computer software (i.e., Concur Gov (CGE), VSTS, TASNET, Credit Card Purchasing System (CCPS) and EASI).
